You may be glad to learn that you can advertise events and trainings, and also engage participants using Workflows, Shifts, Forms, Streams/Campaigns.
Option 1: Shifts, Forms and Workflows
-
Create a shift schedule for the team / location for which the event or training is available or should be shared with e.g. "Architecture Trainings" or "Company Events"
-
For upcoming trainings or events, define a shift for the event / training in the dashboard
-
Title is self-explanatory
-
Description can include a blurb about the training or event, or information like the location
-
Start and end time are self-explanatory
-
Color to make it more visually appealing and distinguishable – this will just affect how it appears in the interface
-
-
Add the group(s) or locations(s) for whom the event / training is relevant under the 'Members' tab
-
Download the Excel template with the right timezone and for the next upcoming timeframe (maybe they do this on a monthly or quarterly basis, for example)
-
Add this "shift" for every user in the sheet on the day where it's taking place (easily done by copy pasting)
-
Save the Excel sheet and upload it into Beekeeper
At this point, the event will be shown to all users in their calendar and on the Home screen in the Shift widget.
For registering to events, employees should fill out a form. With Workflows, you can then do things like confirm event registration via Chat, or add these people into a group dedicated to the event/training so that they can be targeted with communications (campaigns, surveys, or even a dedicated, temporary stream).
Option 2: Streams/Campaigns, Forms, Shifts, Workflows
-
Share posts or campaigns about the upcoming events with a link to a form to register for events
-
Via Workflows, add people who register via the form to a dedicated group
-
Create a new schedule for the event with a definition for this event (to share start / end time, location, etc.)
-
At registration deadline, add the created group to the schedule as the members
-
Download the Excel template and add this event on the given date for all members
-
Save + upload the Excel file so that these registered employees will see the event / training in their shift calendar
-
Alternatively, also use the group of registered people to share additional information via stream, survey or campaign
